Job Profile – Project Assistant/Secretary (Full-time/Part-time)

Job Description

The Project Assistant provides support and creates balance in the time and scope of executing projects under the direct supervision of the project manager. They help facilitate communication and assist with administrative duties and also in charge of logistics related to work.

Duties and Responsibilities

  • Provide support to the secretariat through conducting and organizing administrative duties and activities including performing a variety of secretarial duties and skilled tasks that may include preparing letters, reports, assisting with project research, and collecting data.
  • Collect requested data and information from various sources including email and other correspondence, meeting minutes and records, and other documents; prepares summaries of findings and/or other related written correspondence as requested.
  • Set up and maintain document management systems.
  • May conduct research (within skills and expertise) to assist with projects or inquiries.
  • Coordinate and schedule travel, meetings, and appointments.
  • Prepare agendas and schedules for meetings, conferences, and other assigned events; takes and distributes minutes or other notes as requested.
  • Respond to and resolve administrative inquiries and questions.
  • Perform other general clerical and secretarial duties as requested, which may include recordkeeping, managing petty cash, maintaining office supplies and coordinating equipment maintenance, and handling packages and correspondence.

Required Skills and Abilities

  • Thai nationality based in Chiang Mai, Thailand
  • 0-2 years experience as administrator, secretary or relevant position
  • English and Thai language proficiency is required both oral and written.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Detail-oriented and professional
  • Ability to organize and prioritize tasks
  • Ability to work with diversity and multi-disciplinary teams
  • Flexible and adaptable in various situations
  • Ability to work independently with minimal degree of supervision

Experience and Qualifications

  • New graduate are welcome. 
  • Bachelor of Arts in English Literature, Business Administration or related field.
  • Familiarity of WFTO mission, Fair Trade movement and its objectives.

Working Conditions

Job Type: Full-time

  • The Project Assistant is assigned to work at the Secretariat office in Chiang Mai.
  • Standard working hours 9.00 am – 5.00 pm, Monday to Friday.

Job Type: Part-time

  • On-site/Remote work with flexible working hours
